Guidance for Reviewers and Approvers – student checklists

The ethical review and approval process varies depending on the researchers status (undergraduate, postgraduate taught student, PGR) as well as the level of risk indicated.

Review and approval is via the OEC Admin System (Cohort).  Cohort is held on a secure server and to access off campus  you will need to log on via wmware horizon. See guidance.

Supervisors (UG/PGT)/Ethics Programme Team

Supervisors are responsible for the REVIEW of the student ethics checklist (including participant documentation such as the information sheet and agreement form), to ensure a complete submission of GOOD quality.

APPROVAL will be made either by the Supervisor for ‘low risk’ projects OR an appropriate Ethics Programme Team for ‘high risk’ projects.  Risk is identified by the responses given to the questions.

To review the student checklist to review and approve log onto OEC Admin System (Cohort).

Ethics Programme Team members – please note that you will all receive an automated email which tells  the team that a checklist has arrived online to review (OEC Admin System) but only one team member can ‘respond’ to the checklist online.  So please talk to each other about how you want to manage the review process and make a group decision on who is taking responsibility for feeding back the review comments to the student (online) or for approving the checklist.  Once a ‘response’ has been made online, the checklist will disappear from the OEC Admin system because it has been ‘returned’ to the student for changes or approved.

See Review and Approval workflow.

Supervisors (PGR)/Ethics Champions

Supervisors are responsible for the REVIEW of the student ethics checklist (including participant documentation such as the information sheet and agreement form), to ensure a complete submission of GOOD quality.

APPROVAL will be made either by the Ethics Champion for ‘low risk’ projects OR an appropriate Research Ethics Panel for ‘high risk’ projects.  Risk is identified by the responses given to the questions.
