Strategic approaches to getting your work published

I read an extremely good article this week on Strategic Approaches to Getting Published, written by Phil Ward (University of Kent) as well as a presentation by Frances Bell (University of Leicester) (Developing a Publication Strategy).  Now that we’re in the assessment period for the next REF exercise (likely to be REF 2020) we need to focus on personal publication strategies.  This post shares some of the key messages and advice on personal publication strategies:

Have a publication strategy and review it every year or two – Try to keep in mind the direction in which you want your research to develop, and what publications will help to build your profile.  Try not to be diverted from this!  Your strategy should include different media and channels.  It should include information on your goals (what will you publish in the next week, year, five years, etc), uncertainties and development needs, and resources available to you (e.g. a mentor, peer review of your paper prior to submission, access to funds for open access charges, etc).  You should regularly check progress against your goals.

Balanced publications portfolio – Try and develop a balanced publication portfolio. You don’t always need to be targeting top journals, and sometimes you need to balance several factors:

  • Audience: who do you want to appeal to? Should you be thinking beyond your narrow disciplinary boundaries, or focussing more intensively on it?
  • Impact: do you want the findings of your research to be felt outside of academia?
  • Career Progression: will the publication help in the development of a strong CV?
  • REF: will the publication be a strong, positive contribution to your discipline?
  • Timing: do you need to get something out quickly, or work longer on a discipline-changing piece of research?
  • Co-authorship: would co-authorship help or hinder your publication record?
  • Open Access: will be increasingly important for the REF, but is it worth considering to help with your citations and the impact of your research?

Choosing the right journals – the ‘right journal’ is often viewed as being one with a high impact factor however this is an archaic and somewhat controversial system, and is based on the average number of citations over a two-five year period.  The system is open to abuse, and varies widely between disciplines.  However, it is still seen as a rough and ready indicator of esteem.

The following video is by Karin Dumstrei, Senior Editor at EMBO Journal.  It is worth 3 minutes of your time to watch and listen to the tips she gives!

Her advice for writing a journal article is to always:

  • Choose a project that excites you;
  • Tell a good story;
  • Select the right journal;
  • Avoid the three ‘don’ts’, namely: dont’ overstate your case, ignore others, or hold back data;
  • Be responsible with your data – i.e. say what you see rather than what you want to see.

High impact journals tend to have broader audiences, so you need to:

  • avoid jargon;
  • concentrate on the message;
  • write shorter articles (e.g. Science articles are generally 3-4 pages);
  • avoid too much detail. Additional data can be provided in ‘supplementary material’.
A good covering letter is essential.  It should summarise why your article is right for the journal you’re targeting.  Take time to get this right. Keep it succinct, but explain the novelty and importance of your research, and why you are approaching that journal in particular.
There are seven key tips for writing and publishing a journal article:
  • Title: make it engaging but keep it short, and avoid technical terms.  Also avoid terms which might give the impression of limited reach and significance of your research, e.g. ‘a local case study’ or ‘a small investigation’;
  • Story: structure your article round a good, cohesive, logical ‘story’;
  • Step Change: emphasise what makes your research important. Talk about ‘step changes’ rather than ‘incremental progresssions’;
  • Conclusion and Evaluation: a strong, persuasive and critical conclusion is essential for giving your paper clout;
  • Cover Letter: ‘sell’ your article and particularly why it is right for the journal you are targeting;
  • Feedback: get as much critical evaluation as possible;
  • Rejection: never take no for an answer.  Rejection is an inevitable part of the process. Don’t be discouraged, but take on board comments and criticism and keep trying be resubmitting.

Consider the role of social media in your publication strategy – social media has been shown to dramatically increase the academic and societal impact of research (see my previous posts on the benefits of using Twitter).  Social networking platforms such as Twitter are excellent for promoting and sharing your research, as are blogs either by writing your own blog, contributing posts to other blogs, or commenting on posts written by others.  Your publications strategy should include social media outlets.  For advice on using social media as part of your publication strategy please contact Sally Gates in the R&KEO.

New Year’s Research Resolution #2 – Consider open access publishing via the GOLD route

Each day this week we’ll be posting a New Year’s Research Resolution to help you get back into the swing of things. Today’s resolution is to consider open access publishing via the GOLD route!

Research shows that making your research freely available dramatically increases the number of citations and leads to more people downloading the research papers, this increasing the academic and societal impact of your research.

The gold route to open access is considered at the moment to be the most sustainable method in the long term, and was recommended by the Finch report.  It involves publishing in a fully open access journal or website, or in a hybrid journal (i.e. the paper appears in the traditional print journal and is freely available online).  Authors usually need to pay for their work to be published via this route.

BU has operated a central dedicated budget for open access payments via the gold route since April 2011.  The fund is open to all BU academics and PGRs, and you can find out how to apply here: BU Open Access Fund

open access logo, Public Library of ScienceDon’t delete your drafts!  You will hear this A LOT over the next couple of years as the open access movement gathers even more momentum and the role of green open access and institutional repositories is moved to the fore of the next REF (likely to be REF 2020).  HEFCE’s consultation on open access and the post-2014 REF closed last week and, although the results are not due out until early this year, it is highly expected that most of the proposals will go ahead.  This is likely to result in significant changes to how research papers are published and the full-text is made freely available.

Key changes likely to happen are:

  • All journal papers and conference proceedings submitted to the next REF will have to be freely available in BURO from the point of acceptance/publication (subject to publisher’s embargo periods).
  • A journal paper / conference proceeding that was not made freely available in BURO from the point of acceptance/publication will not be eligible to be submitted, even if it is made available retrospectively.
  • The version made available in BURO should be the final accepted version but does not have to be the publisher’s PDF.
  • This is likely to be applicable for outputs published from 2016 onwards.

It is excellent to see the Funding Councils promoting the open access agenda and embedding it within the REF.  Making outputs freely available increases their visibility and is likely to increase their impact, not only within the academic community but in the public sphere too.  It ensures research is easily accessible to our students, politicians and policy-makers, charities and businesses and industry, as well as to potential collaborators in other countries which can help with building networks and the internationalisation of research.

Talking to academic colleagues around the University it is apparent that the normal practice is to delete previous drafts, including the final accepted version, as soon as a paper is approved for publication.   This needs to change!  Many publisher’s will already allow you to add the final accepted version of your paper to BURO (just not the version with the publisher’s header, logo, etc) and this is set to increase in light of the HEFCE consultation.  Rather than deleting the final version, add it to BRIAN so it will be freely available to everyone in the institutional repository, BURO.

We need to get into the habit now of doing this now.  BRIAN is linked to the Sherpa-Romeo database of journals so you can easily check the archiving policy of the journal.  All you need to do is:

1. Log into your BRIAN account and find the paper.

2. One of the tabs is named ‘full text’.

3. If you click into this tab you will see a link near the Sherpa-Romeo logo to check your ‘publisher’s policy’.

4. Click on this and you will see the archiving policy for this particular journal, clearly stating which version of the paper can be uploaded. Ideally you are looking for your journal to be a green journal which allows the accepted version or (even better but quite rare, unless you have paid extra to make it freely available) the publisher’s version/PDF. 5. Click ‘back’ and then click on the ‘full text’ tab again and you will see a link (in a blue box) to ‘upload new file for this publication’.

6. Upload the file and follow the onscreen instructions.

7. Your full text will then automatically feed through to BURO and be available open access in the next few days.

 

In point 4 I mentioned about paying extra to the publisher at the point of acceptance to make it freely available upon publication.  This is often referred to as the gold route to open access publishing and at BU we have a central dedicated budget for paying these fees.  You can find out about the GOLD route to open access publishing here: Gold route

So the overriding message for New Year’s Resolution #1 is:

EC promotes Open Access as part of €15 billion Horizon 2020 fund

This week the European Commission outlined its support for Open Access (OA) as part of its Horizon 2020 fund launch.  Worth more than €15 billion over the first two years, the funding is intended to help boost Europe’s knowledge-driven economy, and tackle issues that will make a difference in people’s lives.

The Horizon 2020 model agreement (p.58, Section 29.2) requires researchers to ensure open access (free of charge, online access for any user) to all peer-reviewed scientific publications.  Researchers must either:-

  1. deposit an electronic copy of the published version or final peer-reviewed manuscript in a repository e.g. BURO (Green OA)
  2. ensure open access — via the repository — to the bibliographic metadata that identifies the deposited publication on a publisher website (Gold OA)

There is also a useful Open Access Factsheet which summarises expectations for Green and Gold Open Access and suggests that there will be some kind of mechanism for paying some of the Article Processing Costs (APCs) incurred after the end of a grant.

Open access and monographs – a new HEFCE project

open access logo, Public Library of ScienceEarlier this year HEFCE held two consultations with the sector about open access outputs and the post-2014 REF exercise (likely to be REF 2020).  As part of this is was suggested that monographs should not fall into the requirement to be freely available in order to be eligible for submission to the next REF, and HEFCE agreed to launch a project looking into the viability of this for future exercises.  The following text is taken from the HEFCE website: http://www.hefce.ac.uk/whatwedo/rsrch/rinfrastruct/oa/monographs/

Monographs, edited collections and other long-form publications are a very important part of the academic publishing world, and they hold particular importance for scholars in the humanities and social sciences. But many people tell us that monograph publishing is facing difficulties: sales are falling, costs are increasing, and scholars are finding it harder to find an outlet for their work.

In planning an approach for open access and the next REF, we received very clear advice that the monograph publishing world is not yet ready to support an open-access requirement. We have listened to this advice, and are proposing that monographs will not be required to be published in an open-access form to be eligible for the next REF.

But we are very keen to understand the issues better and to support efforts to solve them wherever possible. We are optimistic about the potential for open-access publishing to help sustain scholarly communications in the humanities and social sciences, and we are confident that open-access monograph publishing will continue to grow over the coming years.

A new HEFCE project – we want to understand the issues better, and help to identify potential ways forward. We have started a project, in collaboration with the Arts and Humanities Research Council and the Economic and Social Research Council, to help us do this.

Geoffrey Crossick, Distinguished Professor of the Humanities at the School of Advanced Study, University of London, is leading this work. Professor Crossick was formerly Vice-Chancellor of the University of London and Warden of Goldsmiths.

We have convened an Expert Reference Group to establish what evidence is needed to inform understanding in this area, and to provide advice on an appropriate programme of work to gather this evidence.

The group brings together key representatives from interested organisations to develop increased understanding about the challenges and opportunities for open-access monograph publishing.

A steering group comprising representatives from HEFCE, the research councils, and the British Academy will govern the project. We expect the project to run until mid-2014.

Palgrave Macmillan publish their first open access monograph funded by the Wellcome Trust

You may be aware of the recent HEFCE consultation on the role of open access in the post-2014 Research Excellence Framework.  In this consultation HEFCE asked HEIs whether they agreed that the criteria for open access should apply only to journal articles and conference proceedings for the post-2014 REF or should this be extended to monographs.

The Wellcome Trust, who are committed to open access, has now extended its open access policy to include all scholarly monographs and book chapters written by its grantholders as part of their Trust-funded research – the extended policy became effective for holders of grants awarded after 1 October 2013 and for existing grantholders from October 2014.

Today Palgrave Macmillan have published their first open access monograph, funded by The Wellcome Trust.  Read the full press release here.

Fungal Disease in Britain and the United States 1850-2000, by Dr Aya Homei and Professor Michael Worboys, is now available as a free ebook to download from Palgrave Connect and online retailers such as Amazon Kindle.  It will also be added to the BU Library Catalogue.

Celebrate International Open Access Week – the GREEN route!

open access logo, Public Library of ScienceThis week is International Open Access Week.  Now in its 6th year, this global awareness week aims to promote open access as a new norm for scholarship and research.  Research shows that making your research freely available dramatically increases the number of citations and leads to more people downloading the research papers, this increasing the academic and societal impact of your research.

The green route to open access is where a version of the paper is self-archived in a repository, such as our institutional repository BURO.  This process relies on researchers uploading their own papers.  Repositories offer a number of benefits.  They increase the availability of some published journal works with restrictions on reprinting or text mining, and may enable work to be propogated across the internet and used for novel applications. Repositories also allow authors to keep track of who is downloading their data.

BU has had an institutional repository since 2007 which contains full-text versions of outputs by BU authors.  This provides an excellent showcase of our research outputs to our students as well as making them freely available to a global audience.  You can upload the full-text of your output via BRIAN:

1. Log into your account and find the paper.

Open access and the post-2014 REF – consultation open

HEFCE, on behalf of the four funding councils, has launched a formal consultation on open access in the post-2014 REF (likely to be REF 2020).  The deadline for responses is 30th October 2013 and BU will be submitting an institutional response that reflects the views of the majority of staff.

To facilitate the production of the institutional response the Deans of Schools have been invited to each submit a School-based response taking into account the views of academic colleagues.  It is of paramount importance that academic and research staff engage with this consultation because:

  1. The proposals would significantly change how academics record outputs and add full-text publications to BRIAN/BURO in future.
  2. Some of the proposals are discipline-based and/or have the potential to affect disciplines differently.

The funding bodies propose the following criteria for open access:

  • Outputs should be accessible through a UK higher education institution (HEI) repository, immediately upon either acceptance or publication, though the repository may provide access in a way that respects agreed embargo periods.
  • Outputs should be made available as the final peer-reviewed text, though not necessarily identical to the publisher’s edited and formatted version.
  • Outputs should be presented in a form allowing the reader to search for and re-use content (including by download and for text-mining), both manually and using automated tools, provided such re-use is subject to proper attribution under appropriate licensing.

We propose that outputs fulfilling the following definition must meet these criteria to be eligible for submission to the post-2014 REF:

  • The output is a journal article or conference proceeding.
  • The output is published after a two-year notice period (from 2016 onwards).
  • The output lists a UK HEI in the ‘address’ field.

We are seeking views on which of the following approaches to exceptions would be most appropriate:

  • universal compliance of outputs meeting the definition, with exceptions on a case-by-case basis
  • a specified percentage for compliance.

EC and Research Data Open Access Consultation – see one of the responses

Earlier this month, the EC held a public consultation on open access to research data in Brussels inviting statements from a range of stakeholders, who will play some role in revising the ECs policy and will help shape Horizon 2020. Five questions formed the basis of the discussion:

  1. How we can define research data and what types of research data should be open?
  2. When and how does openness need to be limited?
  3. How should the issue of data re-use be addressed?
  4. Where should research data be stored and made accessible?
  5. How can we enhance “data awareness” and a “culture of sharing”?

These are key questions every researcher should have an interest in. You can see the responses of the Open Knowledge Foundation here and learn more about the EC debates around research data open access mandates.

Open access publishing – common minsunderstandings!

open access logo, Public Library of ScienceReflecting on the experience of our recent mock REF exercise I noted that there were some negative views towards open access publishing that were expressed during the process. This is a little concerning considering the UK government is planning to make all outputs arising from publicly-funded research available via open access outlets by 2014 and considering the open access mandates the major research funders have as part of the terms of their grant funding (including the research councils, the Wellcome Trust and the European Commission).  In addition, the four UK funding councils are currently consulting with the sector regarding their proposal to introduce a requirement for all outputs submitted to the post-2014 REF exercise to be published on an open access basis, wherever the concept of open access is relevant.  As an institution and as individual researchers we need to ensure that we are able to comply with these requirements and that we are able to positively embrace open access publishing.

I did a bit of research and came across an excellent article by Peter Suber, Director of the Harvard Open Access Project.  In the article, Peter addresses the common misunderstandings and misconceptions about open access publishing, many of which we part of the concerns raised during the recent mock REF exercises.  I’ve selected the ones I most frequently hear and provided a summary below, and would urge you to read the article in full here – A Field Guide to Misunderstandings About Open Access.

1. “All open access is gold open access” – not at all! Gold open access refers to open access through journals and green open access is via repositories.  Suber notes that researchers often overlook the existence of green open access or think they will not be permitted by their publisher to deposit a copy of their paper in an open source repository.  At BU we have our own institutional repository, BURO, and BU researchers can add the full-text version of their papers via BRIAN.  Suber notes that between 50-70+% of journal publishers give permission for postprint achiving in repositories.  BRIAN will check the copyright of the publisher for you and let you know which version of your paper can be added to BURO. Easy peasy!

2. “Open access is about bypassing peer review” – not true!  The goal of open access is to remove access barriers, not quality filters.  Open access journals can, and usually do, use the same peer review processes, the same standards, and even the same reviewers as traditional print journals.  Many traditional print journals offer an open access route as part of publishing in their journal (hybrid publishing).

3. “Authors must choose between prestigious publication and open access” – incorrect!  There are two reasons why open access is compatible with prestige:  a gold reason and a green one.  First, a growing number of open access journals have already earned high levels of prestige, and others are earning it.  Do your part to move things along as an editor, referee, reader, and as an author, by submitting your best work to suitable open access journals.  In the meantime consider the second reason.  Most traditional print journals allow open access archiving, such as in an institutional repository.

4. “Open access makes sense for second-rate work, but not for first-rate work” – again, not true!   The idea behind this misunderstanding is this:  the best work generally winds up in the best journals, where it has the best chance of being seen.  At least it should be steered toward the best journals, where it will have the best chance of being seen.  When we add the suggestion that this path doesn’t allow open access, or that open access can’t improve upon it, then an idea that was largely true becomes completely false.  It assumes that the best journals are never open access (not true – Nature, Science and IEEE for example all offer open access options); that only journals can deliver open access (not true – green open access); that the best journals never allow open access archiving (not true – see SherpaRomeo, Science for example permits achiving of post-print of the publisher’s PDF); and that open access archiving can’t increase the visibility and impact of work published in the best journals (not true).

BRIAN – Depositing Full Text Articles

Full Text Articles should be uploaded through BRIAN to comply with Bournemouth University Academic Publications Policy on Open Access.

As most publishers allow the Accepted Version of journal articles to be made available this is the version we recommend authors deposit via BRIAN. The Accepted Version is the author-created final version that incorporates referee comments and is accepted for publication. It should not have the publisher’s typesetting or logo applied.

Supplementary files of various file formats can also be deposited as files or as zipped folders.  A listing of publishers, their journals and policy on archiving in BURO is provided by theSHERPA/RoMEO project; see http://www.sherpa.ac.uk/romeo.php.  BURO staff will liaise with the copyright holder regarding the inclusion of full text for other publication types.

Depositing files step by step

When in BRIAN, click on ‘my publications’ to see your full list of publications.  Each record will show a summary screen and below the title of each record you will see a set of six tabs. Click on the ‘Full text’ tab (the second tab from the right).

  

Click on the link ‘Manage full text’ where it says ‘Manage full text for this publication’.  The File management box will open. Browse and select the file(s) you wish to deposit. Click on Upload’. As indicated above, please include your final version in the first instance.

Books are rarely allowed, although some publishers will permit the use of a sample chapter.  BURO staff can liaise with the publishers on your behalf to check permissions.

Click on ‘Grant’   to confirm you are depositing the file(s) for possible dissemination via BURO. This process does not transfer copyright to BURO.  When you have deposited the files you wish to transfer to BURO click on ‘Home’ in the top left hand corner of the screen to return to your BRIAN profile home page.

RCUK to provide some universities with a block grant for open access publishing costs

open access logo, Public Library of ScienceWe’ve added posts to the Blog previously about the outcome of the Finch Report (Accessibility, sustainability, excellence: how to expand access to research publications) (access previous posts here) which was published on 18th June 2012 and came out of the Working Group on Expanding Access to Published Research Findings, chaired by Dame Janet Finch. On 16th July 2012 the Government announced that it has accepted the recommendations of the report. The report recommended a balanced programme of action to enable more people to read and use the publications arising from research, and to accelerate the progress towards a fully open access environment, particularly for all government-funded research.

Upon publication, the Report generated some negative reaction from Russell Group institutions concerned about the cost implications given the output of their staff and the high proportion of RCUK funding they receive. The Government has responded to this by providing funding to some institutions to support the costs of OA publishing. This approach so far has been two-fold:

1)    In September 2012 the Government announced funding of £10 million, understood to have come out of budget underspends, to support a number of research-intensive universities to kick-start the transition to OA publishing and setting up funds to meet the costs of APCs (Read the BIS announcement here: http://news.bis.gov.uk/Press-Releases/Government-invests-10-million-to-help-universities-move-to-open-access-67fac.aspx). The funding will support 30 institutions, selected on the basis of their combined QR funding and RCUK income. BU did not meet the threshold and will unfortunately not receive any funding from this initiative.

2)    In November 2012 RCUK announced block grant funding to support selected universities to support open access publishing costs from RCUK-funded grants (read the RCUK announcement here: http://www.rcuk.ac.uk/media/news/2012news/Pages/121108.aspx). Payments will be made from April 2013 to March 2015, with a mid-term review to assess the system is working. Grants have been calculated for individual universities based on the proportion of direct labour costs awarded on grants that they have received from April 2009 to March 2012. These labour costs have been used as a proxy of research effort leading to the generation of publications. Only universities that are eligible for a block grant of £10k or more will receive funding. RCUK have confirmed that unfortunately BU does not meet the threshold of £10k and will not receive any funding from this initiative.

Although BU has missed out on both block grants we are continuinging to support open access publishing, supported by a central, dedicated budget specifically set up to pay open access publication fees (BU Open Access Publication Fund). This has been live since April 2011; its use will continue to be monitored and the budget increased to cover the increasing demand from BU academics wishing to publish via open access routes.  There is no doubt that this fund will need to grow substantially over the next few years to cater for the changes in train.

Green open access publishing is of course possible using our own institutional repository BURO which is now even more accessible given the new interface provided by BRIAN which tells academics the publisher’s rules on self-archiving for each output when they log into the system; it is hoped this will increase the proportion of full-text articles available in BURO.

BU is encouraging all academics to continue to embrace open access publishing at least as part of the dissemination strategy for all current grants and to ensure that they bid for open access funds as part of future grants as this becomes possible (it is already possible with some funders, including Research Councils).

Should the Finch Report have gone for green not gold?

open access logo, Public Library of ScienceLast week Matthew added a post (Decisions, decisions: where do I publish?) about the long-awaited Finch Report into expanding access to published research findings. The Report advocates a move to Open Access publishing for all government-funded research, a view which has been embraced by the Government. Open Access publishing is something that BU fully supports and encourages academics to undertake and just over a year ago we launched a central, dedicated budget specifically for paying Open Access publication fees on behalf of our academics (BU Open Access Publication Fund). Even so I am somewhat disappointed with the decision of the Finch Report and the reason for this is because the Report isn’t green, it’s gold.

The Report supports the gold open access model of publishing – this is where authors pay publishers for the privilidge of having their work published which, upon publication, is made freely available to anyone (no need for a subscription) on the internet. The green open access model on the other hand describes the situation where articles are published in subscription based journals as now, but a peer reviewed final copy is placed in an open access repository (such as an institutional repository like BURO). Unfortunately the gold model simply redistributes the costs of publishing by charging authors publishing fees up front rather than readers on a subscription basis, and by so openly supporting gold over green the Report is clearly supporting the commercial interests of publishers over the interests of UK research, universities and the general public. It could be argued that a better outcome of the Finch Report would have been support for green open access publishing by increasing the number of UK institutions and funders with green open access mandates from 40% to 100%.

At BU we are lucky that we have the BU Open Access Publication Fund to meet the fees of open access publishing (i.e. gold model) but what about if this budget cannot keep up with demand during a fast transition to gold open access publishing? And what about authors who don’t have access to similar funds and who can’t pay? Many PGRs and ECRs in the UK might fall into the latter group and a lack of published articles could put them at a disadvantage when applying for jobs and progressing their careers.

Last week the THE ran an interesting article on the Finch Report (Staggered open-access gold run ‘won’t break bank’) reporting that the move to gold open access publishing will be a steady transition rather than an immediate change. However the speed at which the Government adopted the Report’s main recommendations and promoted the benefits of the gold model, coupled with RCUK’s publication of a final version of their new open access policy (in which researchers are required to publish in gold open access outlets or self-archive outputs within 6-12 months, depending on discipline) and news that the four funding council’s (including HEFCE) intend to consult over plans to require all papers submitted to the next REF to be published in open access journals, gives the impression that the transition may be more imminent that the THE article suggests.

Overall it can only be a good thing that the Finch Report and the sector at large is so supportive of open access publishing – however I wish the Report had been a little less biased in its outcome and hope that universities are given the time required to make the transition smoothly. Thankfully BU is ahead of the game with the BU Open Access Publication Fund and we will continue to keep up with external developments to ensure BU staff are fully supported with open access publishing. We will also continue to support colleagues with making published outputs available via the green model of open access, i.e. self-archiving on BURO. Our new system BRIAN will tell you the publisher’s rules on self-archiving when you click through to add an output to BURO (via BRIAN). This will also be checked for you by the Library prior to the output going live in BURO.

Key messages from the July ECR Forum! Winning grant funding and writing papers for publication.

We’ve started a series of open forum meetings for academics at an early stage in their research careers (ECRs) to provide an opportunity to ask for advice and guidance from a team of experienced academics and research managers in an informal setting. Questions can be about anything related to research – from publications to projects to funding to research strategy! The Forums also provide an opportunity for ECRs to network with colleagues from across the University.

The first Forum meeting took place on Wednesday this week and provided seven ECRs with the opportunity to meet with Prof Stephen Page (School of Tourism), Dr Robert Britton (School of Applied Sciences) and Julia Taylor and myself from the Research & Knowledge Exchange Office (R&KEO). The main discussion points were around writing and submitting a first research proposal and writing papers for publication. The key messages were:

First research proposals – The key message here is collaboration! You need to work collaboratively with others (both at BU and external) to learn and to be successful. Ideally you should have an internal mentor in a similar research area to you who you can talk through your ideas with, who can comment on your draft proposals, and who can advise you on your career.

For large grants there are two main ways in: as a Principal Investigator (PI) on your own proposal to a dedicated ECR call or as a Co-Investigator (Co-I) on a colleagues’ proposal to a standard call. You will need to select the right scheme for you and your research. Many funders offers schemes specifically targeted at ECRs (e.g. ESRC’s Future Research Leaders scheme or EPSRC’s First Grant scheme). You will need to identify at least one experienced academic who will mentor you if the proposal is successful and to identify a suitable mentor you need to network and build relationships with experienced colleagues with similar interests. Ideally the mentor will be someone you can meet with regularly, so a colleague at BU or a University nearby is perfect. You can also submit a proposal to a standard call as Co-I with a more experienced colleague as PI. To identify a colleague to work with you need to network and meet colleagues with similar interests. Prior to submitting a collaborative bid it is beneficial to have previously worked with, or at least know, your collaborator – this is reassuring to funders as they can see evidence of an existing, productive relationship and also gives you both the confidence that you know you can work well together (this can save problems down the line if you prove to be incompatible!). Start early when writing proposals as the process will take much longer than you initially anticipate and you will need enough time to ensure your proposal can be reviewed and refined and improved throughout the writing process to ensure the best chance of success.

Also vitally important is gaining experience by submitting proposals for small research awards such as travel grants and small grants offered by charities.  The application forms are usually short so do not take a lot of time to prepare and they give you vital proposal writing practice and experience and often you receive feedback that can help develop your skills further. Small research awards are important in building and progressing your research career as they indicate that you are continuing to undertake research and that you are gaining valuable experience in budget management, project management and delivery. This is essential experience to be able to demonstrate to funders for larger funding calls that you are a capable researcher and have a track record of successful project delivery; they will also help to build your confidence as a researcher. Smaller calls often have quicker response times meaning you can use the awards to continue your research whilst you are waiting for award decisions from larger funding proposals, such as to the Research Councils.

Prior to submitting your bid externally you are strongly advised to put your draft proposal through the University’s internal peer review scheme (the RPRS). You will receive feedback from two experienced academics and from the Research Development Unit. This can help you to shape your final proposal and to ensure it stands as good a chance as possible of being awarded. At a more local level bid writing need not be a lone activity – ask more experienced colleagues in your School for their advice and guidance.

BU’s Grants Academy provides an excellent opportunity to develop the skills and expertise required to design, write and structure a competitive, fundable research proposal. Academics attend an intensive two-day training workshop delivered by Dr Martin Pickard which looks at how to write a winning grant proposal and then receive dedicated support afterwards for a period of 18 months to write research proposals. Writing papers for publication – again the key message is collaboration! Single author journal papers, especially as an ECR, are becoming increasingly rare and you will need to collaborate with colleagues (at BU and at other institutions) to produce papers, particularly people with skills you don’t have. Each author should bring a new perspective and skill set to the paper. One of the benefits of collaborating with co-authors is that more experienced colleagues can offer advice and guidance and revise the paper prior to submission to the journal – this will ensure your paper has the best chance of being accepted. The different perspectives of co-authors are also very useful in developing and refining your paper. It is critical that the submitted paper is written in excellent English and many papers are rejected on the basis that the language, grammar, etc are not up to scratch. Colleagues can help with this and you should always proof-read your paper prior to submission. Match the standard of the published articles you have read in journals and use this as a guide. Always take time to craft something good – it is quality over quantity. Having 3 or 4 strong papers is much more beneficial to your career and enhances your ability to get grant funding than 10 poorer papers. Be ambitious and challenge yourself! Try submitting to a journal with an excellent reputation – if you’re not successful then try a different journal.

open access logo, Public Library of ScienceOne way to get your paper published more quickly and make your results available to a larger audience is to publish via an open access outlet. There are dedicated open access journals or you can publish via a hybrid journal (a traditional print journal that also offers an open access option). BU has been running a successful Open Access Publication Fund for just over a year now to support academics and researchers to publish via this route.

Don’t just have one thing on the go at once! – you should build a portfolio of your research and have lots of activity (papers and proposals) going on at the same time. For example, if you are awaiting a decision on a Research Council proposal then keep submitting small grant applications in the meantime, or be working on your next journal paper as soon as you’ve submitted your current one. To build your academic career you need to demonstrate consistent performance with grants and outputs and also excellence in teaching.
